This guide is designed to explain elements of the course that may be new to you. We recommend that you read this guide thoroughly and refer to it whilst studying the course. Remember that although the course is administered by ICAT you are also a student of the University of South Wales.

I would like to welcome you to Cardiff and Vale College. We are delighted you have chosen to study with us and hope you enjoy this year.

At Cardiff and Vale College we are very proud of the service we provide to you. We know that by working together, 2013-14 can be a successful year for you and the College.

We want you to settle into College as quickly as possible. To help this we provide you with a few things. All students are given this book - a personalised Course Handbook. This Course Handbook includes general information on just about everything you need to know about the College as well as studying your chosen course.

Please take time to read this handbook. It will then become a useful book for you to refer to throughout the course.

However, please remember if you have any problems or questions, all College staff are here to help you – so just ask.

Course Enquiries

This service is currently manned during office hours. You should not expect immediate answers to emails; the tutor will get to them as quickly as possible. Please mark all emails with the module that you are studying in the subject box.

Study Plans

Individual study plans have been created for each module. You should put your study plan in a prominent place or keep it handy for easy reference. The calendar provides a guide to the chapters that should be studied in each week of the course. You are expected to dedicate 15 to 20 hours a week to your studies. We suggest that complete these one at a time, based on an available exam date, working backwards to complete the study plan.

Setting deadlines
The study plan will help set milestones for the study of each module. Milestones include progress indicators, assignment deadlines and Part-66 examinations. We hope that this combination of elements will channel your revision of the modules improve your chances of success.

Examinations
When applying for an examination the form must be with our examination department no less than 3 weeks before the examination date. The due date in the sample calendar shows the last possible date when the examination entry will be accepted.
The examination will take place at 10:00 am or 13:30 at the centre. Students are expected to arrive 30 minutes prior to the examination time in order to book in.

Progress Indicators
You may be asked to complete a progress indicator before sitting the full part-66 examination. This will be a representative test of your knowledge of the module which can be completed at home and returned to your tutor. The tutor review that follows will give you an indication of your weak areas in that module and advise you on how best to proceed.

Revision Tutorials
Revision sessions will be arranged prior to examinations in accordance with the study plans produced. These will give you a chance to iron out any outstanding problems. Students have found these useful in the past and we would encourage you to attend if possible, but they are not mandatory. Please be aware that revision tutorials can not be guaranteed and will only run if sufficient numbers of students apply.  No travel or accommodation arrangements should be made until the tutorial has been confirmed.  This will be by email in the week after the related examination application cut-off date.

Assignments
All modules, except module 1, will have an assignment attached to them. The assignment for each module will be due 28 days after your examination for that subject, regardless of the outcome of that examination.

Review Sessions
Where possible, immediately following Part-66 examinations informal review sessions will take place at ICAT. Refreshments will provided and students will have the chance to tell the course team what went well and not so well during the study of that module. It will also be a chance to collect more course material and discuss milestones for the next module.

E-Books

E-Books can be used to assist you with your university assignments.

Login using your college username & password before you are allowed to go any further.  These have been uploaded to your Notes on the Course Tracker. Students who have enrolled very recently will have their usernames and passwords for this application added as soon as they are available.

You can then search for the book you are after. You can search by author, title and keyword as well as a number of other options.

SCONUL Card

As a University student you will be able to apply for a SCONUL card. This will allow you to use more local university and college libraries, which are participating in the scheme.

How to get your NUS Extra Card

The NUS Extra Card is the card that gives you access to a wide range of discounts locally, nationally and online.

The card is exclusive to students who are members of NUS-affiliated students' unions such as the Cardiff and Vale College Students’ Union and is packed with a range of benefits. NUS has put together a range of discounts, offers and competitions designed to make student life more exciting, more memorable and more rewarding.

Go to www.nus.org.uk and follow the online instructions.

You will need an uploaded digital photograph of your face and a valid debit and credit card. The card will cost £12 and should be available for collection from Student Services within 10 days.
If you do not have a digital photograph then try scanning an ordinary passport-sized photograph and saving this to a computer or disc. The scanner in the College Learning Resource Centre is free of charge to use.

The NUS has set the fee for the Extra Card at £12. Every student at any British University or college has to pay the same.

You can use your ICAT number to register with the NUS. They will send the NUS card to the Cardiff and Vale College Students Union and then on to ICAT. The course team will then forward it to your correspondence address.

The College – what you need to know

Rules & regulations
When on-site at ICAT, you will be expected to comply with the College’s Rules & Regulations. Much of this is common sense. There are some activities that we just cannot tolerate in the College because they are dangerous or illegal, such as violent behaviour, theft, vandalism, bullying and drugs. If you engage in any of these activities you must expect to be given a formal written warning or even to be excluded from attending any sessions at ICAT.
We have a system of identifying issues before they become major problems, and sorting them out through open discussion, guidance and agreements about future performance.

Appeals procedure - how to appeal against a decision
It is possible that you might disagree with some decision that affects you in College. We have formal procedures for making a complaint and asking for a decision to be reviewed. These include:

  • Academic performance and grades

  • Disciplinary warnings and penalties

  • Matters related to grants and financial support.

Making a complaint
The first step is to try to resolve the matter by contacting your course tutor or subject lecturer. This can be done by phone, letter or email. However, if you are not happy doing this or it would be inappropriate or you want more advice, contact Student Services.
You may wish to take the complaint further using the Formal Complaints Procedure. This requires you to fill in a form, available below.

Making a Complaint

Health & Safety

The College has a Health and Safety Policy. A copy of this policy is kept in the LRC as well as on the student intranet. The College also has a Health and Safety Advisor who you can contact if you have any concerns.

It is the aim of the College that you study in a safe and healthy environment. It is important to make you aware of the College’s Health and Safety guidelines for students. As students attending ICAT you will be required to look after your own welfare. You will also be held responsible for the health and safety of other people who may be affected by your behaviour in College.

Accidents
If you are injured or involved in an incident at ICAT that could have caused you injury – a ‘near miss’, you must let the College know straight away. The College has an accident report form for students. You can get a copy of this from the reception of all buildings or your Course Tutor. Remember accident report forms are to make sure that accidents do not happen again – not to blame someone.

First Aid
If you are injured while at ICAT, your tutor will make sure you get first aid treatment or transport to hospital.

If you are injured out of class time, please contact reception.

In the event of serious injury an ambulance will be called straight away.

Medication
College First Aiders are not allowed to issue medication to anyone. If you need to take medication to control or treat a condition you must do this yourself. First Aiders are not allowed to help.

If you suffer from a condition that is controlled by drugs such as diabetes or epilepsy you must tell your Course Tutor.

Fire
If you discover a fire in College you should start the nearest fire alarm by breaking the glass. Do not try to extinguish the fire. When you hear the fire alarm leave the building quickly and calmly. Fire Marshals will check the building to make sure the building is empty.

These short guidelines do not cover all situations. If you have any doubt about Health and Safety you should tell your Course Tutor.

Around the College

Parking & Driving on site
If you drive to College and park on site you must follow the following rules:

  • There is a speed limit of 10 miles per hour on all sites

  • There are many people on the College sites during the day. On the Colcot Road campus there is also a crèche and nursery so small children are also about. Please take extreme care in driving on site.

  • Please make sure you park in the student areas of the car park. Certain areas of the car parks have permit only areas for staff parking – please do not park here. Also, you must not park in a disabled car parking space unless you hold a disabled sticker. Any student cars parked in staff or disabled spaces will be given a parking ticket.

    If you do not follow the above rules you may be asked not to take your car on site again.

Security
Whilst at College you are responsible for the security of your own possessions. Please do not bring valuable possessions into College unless you need to. If you do bring in valuables, keep them on you at all times.

Smoking
It is the policy of Cardiff and Vale College that all our workplaces are smoke-free and all employees have a right to work in a smoke-free environment. With effect from 2nd April 2007 smoking is prohibited throughout the entire college with no exceptions. Please do not smoke in the college grounds.

Litter
In Cardiff and Vale College we are proud of our facilities. There are plenty of litter bins both inside and outside the College. Please make sure you place any litter in these bins.

What Happens at the End of the Year?

Assessment Boards
Your overall module grades for each module are agreed by the relevant Field Examination Board, which meets at the end of the year, and works in consultation with the field external examiners. Under the University regulations, all modules have to be overseen by a specified external examiner, whose task is to ensure the standards are comparable to other Universities, and that the grading has been fairly carried out.

Once the grades have been agreed, they are passed to the Award Board, which considers your overall profile and determines your progression, award and classification. The Award Board is overseen by a minimum of one Award external examiner, whose task is to ensure that the regulations are fairly, consistently and justly applied to all students, and to advise on regulatory matters and discretionary cases. It meets at the end of the Academic year, and after the September re-sit period. The Head of School is Chair of all Awards Boards, and ultimately responsible for all assessment and examination decisions.

Following the July board you will receive notification of your performance directly from the university. Modules marked as continuing can be carried in to the next academic year. You will be expected to complete assignments for modules where you have sat the examination before the September board. The board usually takes place in the first few days of September. To allow time for these assessments to be marked and results submitted, please submit your assignments by the beginning of August.

What Happens if I Fail a Module?
The first thing not to do is panic but get in touch with your course tutor who can advise you on what to do next.

If illness causes you to miss an assignment deadline, obtain a Medical Certificate, and follow the procedure for mitigating circumstances.

Refered coursework must be submitted by the deadline identified above.

Not Sure About Your Course?

Suspend Studies
For a range of reasons, you may wish to suspend your studies for a period of time. If you are considering this then you must contact your Course Tutor to discuss your options.

Withdrawing from a Course
If you decide to withdraw from the University for any reason, please notify your Course Tutor.
Should you withdraw, and depending on the length of time you have been studying, you may still be required to pay your fees. The table below gives a breakdown of the fees applicable.

Moving On
In order to enter subsequent years you must achieve a certain level of university credits. These credits are accrued from assignments and examinations. It is important that you complete both elements of the course.

The final Stage of the programme is administered by the University of South Wales. This is normally structured over two (2) academic years between September/October and May/June.

The university should assist you in gaining accredited prior learning, based on your experience for the Level 4 modules, Management 1 and Personal Development Plan. This will leave three (3) modules to study in the first academic year, with two (2) examinations in May. The project will be completed in the second year.

Employment
Many students are able to apply for a range jobs after their course directly with Airlines or Part-145 Maintenance Organisations.
